How to choose veterinary clinic software in India

A checklist you can use on any vendor, PetPort included: what a clinic actually needs, what is nice to have, and the questions that save you from software you cannot leave. It names no other product, and it says what PetPort does not do yet.

Must-haves

Six things a clinic should not compromise on

  1. 1.One record per animal

Every visit, vaccine, prescription and report on the pet's own timeline — not scattered across the owner's name, so two dogs in one family never get mixed up.

  2. 2.A queue the whole clinic can see

Appointments and walk-ins in one list, so the front desk and the doctor agree on who is next without shouting across the room.

  3. 3.Prescriptions that are safe and legible

Templates for common cases, allergy and interaction warnings, and a clean printed or shared copy instead of handwriting the owner cannot read.

  4. 4.GST invoices done properly

Your GSTIN on the bill, numbering per financial year, CGST and SGST or IGST worked out, and a register your accountant can use.

  5. 5.Works on a phone, not only at the desk

Doctors write notes in the consulting room. If the software only runs on the reception computer, the notes get written later — or not at all.

  6. 6.Roles for your staff

Receptionists should not see the profit and loss; doctors should not be able to void a bill. Ask what each role can and cannot do.

Nice to have

Useful, once the basics are right

  • Pharmacy stock with batches, reorder levels and expiry warnings
  • Vaccination due lists and reminders to owners
  • Lab reports attached to the visit and shared with the owner
  • A waiting-room screen showing the queue
  • Pre-visit forms the owner fills in before arriving
  • Reports on revenue, top services and no-shows

Questions to ask any vendor before you sign

  • Can I export all my patient records, and in what format, if I leave?

  • Can I bring in my existing records, and who does the work?

  • Where is the data stored, and who at your company can see it?

  • What does it cost per year in total — users, branches, setup and GST included?

  • Does it run on a phone, and does the phone app do everything or only some things?

  • How do owners get reminders — SMS, WhatsApp, an app — and who pays for the messages?

  • What happens to my data if I stop paying?

  • Can I try it on a real clinic day before I commit?

Where PetPort fits

What PetPort Partner does — and does not do yet

It does

  • OPD queue and appointments, with walk-in tokens and a waiting-room screen
  • Consultation notes, prescriptions with allergy and interaction warnings, lab reports and certificates
  • Pharmacy stock, purchase orders, GST invoices, credit notes and a GSTR-1-style summary
  • Staff roles, owner reports, and the same workspace on the web and the Partner phone app
  • Reminders to pet parents in the PetPort app and on WhatsApp
  • With the owner's consent, the pet's history from before your clinic

Not yet

  • No file import of your existing patient records — patients are added as they visit
  • No full export of patient records; reports, the invoice register and the GSTR-1 summary download as files
  • Each branch is its own workspace — no combined patient list or cross-branch reports
  • It does not file your GST return, and it does not issue debit notes
Questions

What clinic owners ask

What is veterinary clinic software?

Software that runs the day of a vet clinic: appointments and the waiting queue, each animal's medical record, prescriptions, the pharmacy, billing and GST, and reports. It replaces the register, the prescription pad and the billing spreadsheet with one system the whole team uses.

How much does veterinary clinic software cost in India?

It varies by vendor and by how they charge — per user, per branch or per year. Compare the total yearly cost including GST, setup, extra staff and branches, not the headline number. PetPort Partner's founder price for a clinic is ₹19,999 a year, including GST.

Does a small clinic need software?

If the doctor is the receptionist and the pharmacist, a phone app that keeps records and bills properly saves more time than it costs. The test is simple: count how often in a week you search for an old prescription or rebuild a bill by hand.

How do I keep my patients' data safe?

Ask every vendor where the data is stored, who can see it, and how you get it back if you leave. Under India's DPDP Act, owners' personal data needs their consent for each purpose. PetPort's database is hosted in Singapore and files are stored in India, as its privacy policy says.

Can I switch software later?

Only as easily as your vendor lets you take your data out. Ask before you sign what can be exported and in what format. PetPort today exports reports, the invoice register and a GSTR-1 summary, but not a full export of patient records.

Put PetPort through the same checklist.

Every feature is on the vet clinic software page, billing is on the GST billing page, and every plan is on the pricing page.
